The National Accounts Support Specialist will partner closely with the National Accounts team to provide administrative and billing support. The National Accounts Support Specialist will be able to thoroughly assist and support internal and external customers.  



  • Responsible for all incoming and outgoing mail.
  • Answer incoming calls and direct where appropriate or complete the call.
  • Primary contact for in person visitors, vendors and employees.
  • Review sales deal paperwork for accuracy & completion and submit for approval.
  • Process orders for machine pick ups, demos or sales loaners.
  • Create, update customer records and start the Sales Order process in eAutomate.
  • Assist staff as needed for any computer-related issues and facilitate coordination with IT. Encourages and builds positive relationships and communicates effectively with all co-workers, external customers and vendors.
  • Conducts self at all times as the public image of the company in accordance with company's policies and procedures.
  • Accountable for task completion from beginning to end in a timely fashion
  • Handle escalated customer service issues
  • Work invoice disputes, research, report discrepancy, provide resolution to customer within 48 hours of initial call
  • Develop and maintain spreadsheets containing detailed account information
  • Serve as primary interface for questions/concerns
  • Thorough understanding of company business processes
  • Manage Out of Geography (OOG) installs ensuring streamlined workflow process. Coordinate and assist OOG Coordinator/Branch Admin with process to ensure completion
  • Take in customer inquiries, research and communicate results with customer. Work directly with Contracts, Equipment Billing, Accounts Receivable, Cash Applications and Service.
  • Research customer buyouts and credit approvals
  • Coordinate equipment returns, pick up, and relocations
  • Responsible for gathering account changes (i.e. name, contact, address changes, W9's Insurance requests), invoice reprints, custom invoicing, vendor applications, insurance requests, cash application inquiries, contract cancellations and forwarding to the proper channel
  • Use Value Quix to retrieve Xerox contract pricing for National Accounts department
  • Serve as the primary interface on Zeno community initiatives and inform/invite major account clients to ongoing events (i.e., Expos, Trade Shows, Open Houses, Community events)
  • May be required to work outside normal business hours (including evenings/weekends etc.) as needed to ensure departmental goals are met.
  • Other duties as assigned. 





  • High School Diploma or general education degree (GED) required.
  • A minimum of 3 years of experience in an administrative role is highly preferred.


Skills, Specialized Knowledge and Abilities:

  • Experience with billing and invoicing.
  • Experience with automated billing and CRM systems (eAuto, SHERPA)
  • An understanding or experience of working with inventories.
  • Must possess outstanding communication (verbal and written), interpersonal, problem solving and customer service skills.
  • Must exhibit a high level of discretion in working with confidential information and materials.
  • Strong attention to detail, strong planning and organization skills.
  • Detail-oriented with the ability to work independently as well as collaboratively in a team setting with peers and colleagues in a cross functional setting.
  • Must be a self-starter, able to prioritize and handle multiple tasks and ability to meet strict deadlines and perform under pressure in a fast-paced work environment.
  • Good problem solving and troubleshooting skills.
  • Able to read, understand and follow company Standard Operating Procedures (SOPs) and guidelines.
  • Must have knowledge of basic math.
  • Ability to maintain regular attendance and punctuality requirements.
  • Must be able to work overtime (including evenings and weekends) as necessary to support departmental efforts.
  • Excellent computer proficiency with Microsoft Office Suite (Word/Excel/PowerPoint/Outlook).
  • Proficient in the use of office equipment (computer programs, technical phone system, copiers, fax, printers etc.).
  • Record keeping, database experience preferred.

  • Must be able to concentrate, analyze and solve complex issues routinely throughout the course of the work day in an open office space environment.
  • Ability to sit for long periods of time, stoop, reach, bend throughout the course of the work day.
  • Ability to work on PC including repetitive use of a keyboard and mouse for long periods throughout the course of the work day.
  • Must be able to read and comprehend technical documents and instructions throughout the course of the work day.
  • May be required to work outside normal business hours including evenings and /or weekends .
