The AOT-Xerox Sales Administrator's primary focus is to process all deal files; ensure the integrity and compliance of each deal, accuracy of inventory and timely lease funding.  Monitor and manage team's daily activities.

Job Duties and Responsibilities:

  • Process equipment requests entered through Sherpa.
  • Audit deal files for Sarbanes compliance.
  • Liaise with sales rep as to incomplete deal packages.
  • Bill equipment orders.
  • Prepare and mail invoices and lease packets.
  • Provide liaison between Admin, Sales and lease vendors for timely funding.
  • Assist team members in resolving billing and leasing issues.
  • Run daily activity reports to ensure timely processing.
  • Monitor open order report for billing, demos, loaners and pending sales.
  • Monitor and maintain lease aging and rectify potential funding issues.
  • Liaison with customers, sales reps and Inbound Logistics Coordinator to ensure timely resolution to lease return issues.
  • Work with Asst. Controller in weekly reconciliation of lease funding and buyouts payable.
  • Forward funding notices to Cash Applications Clerk.
  • Perform other assignments as required.

Requirements and Qualifications:
High School Diploma or GED equivalent

  • 2+ years copier industry experience.
  • Proficient in Microsoft Word and Excel, and able to create and maintain spreadsheets.
  • Must type 50 words per minute
  • Personable, with ability to handle multiple tasks.
  • Must exhibit strong leadership skills.
  • Strong communication skills.
  • Strong organizational skills, attention to detail, and ability to self-supervise daily activities
  • Ability to manage priorities.
  • Must submit all reports and paperwork in a timely manner.
  • Must display strong team mentality, and desire to assist co-workers as needed.
  • Must be a quick learner and display initiative.
  • Must be able to sit at workstation at a computer for majority of business day.
