JOB SUMMARY: 

The Supply Support Representative is primarily responsible for receiving and processing customer orders for supplies according to established procedures. This position often serves as the first point of contact for our customers so a high level of professional and courteous communication by phone, in person, and email correspondence is essential.

 

KEY DUTIES:

  • Processes customer orders for supplies
  • Promptly answers busy multi-line phones from customers
  • Educates customer on the ordering processes when applicable
  • Evaluates current requests using the Supply Intelligence Tool to control over shipments of supplies
  • Takes customer orders via phone, fax, e-mail, and website
    • Verifies customer's contact information to include suite or floor numbers
    • Identifies customer's equipment by ID and/or model
    • Obtains meter reads when required
    • Records contract program type to determine order type
    • Verifies customer credit status and obtains release from A/R if credit approval is required prior to processing
  • Process orders from Alerts through the Automated Supply Management program
  • Determines availability of product by checking all ZENO inventories
    • Identifies supplies by equipment model
    • Checks availability in main warehouse and in alternate inventories
    • Determines "Ship-From" based on availability and excess quantities in alternate inventories
    • Notifies alternate warehouses as necessary
  • Notifies purchasing assistant if no inventory is available
  • Enters customer orders into company's ERP system
    • Verifies pricing and/or pricing schedules
    • Enters order details and contact information
    • Prints picking tickets to "Ship-From" warehouse
    • Provides customer with shipping details
  • Reconciles shipping documents and original orders
    • Verifies quantities shipped
    • Reports back-orders and order priority to Purchasing Assistant
  • Presents the ZENO line of office products to existing and prospective customers
  • Demonstrates a high level of professionalism and efficiency to provide outstanding customer service at all times.
  • Ongoing cross training for familiarity in all Customer Care Center functions
  • Other duties as assigned 

QUALIFICATIONS: 

Education/Experience:

  • High School diploma or equivalent is required
  • One year experience in a fast-paced customer service order processing environment or call center is highly desirable.

 Skills, Specialized Knowledge and Abilities:

  • Strong customer service,  oral and written communication skills
  • Detail-oriented with the ability to work independently as well as collaboratively in a team setting with peers and colleagues in a cross functional setting
  • Must be a self-starter, able to prioritize and handle multiple tasks and ability to meet strict deadlines and perform under pressure in a fast-paced work environment.
  • Good problem solving and troubleshooting skills
  • Ability to maintain regular attendance and punctuality requirements
  • Ability to work overtime (including evenings and weekends) as necessary to support departmental efforts
  • Computer literacy and familiarity with web-based research and purchasing
  • Advanced data entry skills
  • Basic knowledge of the Microsoft Office Suite
  • Strong initiative with ability to seek out relevant information prior to making timely decisions.

Requirements (Physical, Mental, Environmental Demands):  

  • Must be able to hear auditory alarms, speak, concentrate, analyze and solve complex issues throughout the course of the work day
  • Ability to work on PC including repetitive use of a keyboard and mouse for long periods throughout the course of the work day
  • Ability to sit and stand for long periods of time throughout the course of the work day
  • May be required to work outside normal business hours including evenings and/or weekends
